Job Title: Onsite Administrative Assistant - Office Support

Location: Abilene, TX
Job Type: Part-Time Onsite, (Long-term Contract)
Reports To: Site Manager
Industry: Engineering

Position Summary:

We are seeking a highly organized and proactive Administrative Assistant to support our onsite team on a large-scale construction project. This role requires strong administrative skills, attention to detail, and the ability to work effectively in a fast-paced, dynamic environment. The successful candidate will play a key role in ensuring smooth day-to-day operations at the construction site by providing administrative, clerical, and coordination support.

Key Responsibilities:

  • Serve as the primary onsite administrative point of contact for the construction team, subcontractors, and visitors.
  • Manage daily office operations including scheduling meetings, maintaining office supplies and coordinating catered lunches.
  • Assist with preparation and distribution of reports, meeting minutes, and other communications.
  • Track and input data related to timekeeping, deliveries, equipment logs, and attendance.
  • Coordinate with vendors and suppliers for deliveries, logistics, and access to the construction site.
  • Help enforce site safety and security protocols by managing sign-in sheets, badging, and access control documentation.
  • Support project managers, engineers, and field staff with administrative tasks as needed.
  • Maintain updated filing systems (both paper and electronic) for easy retrieval of project records.
  • Assist with onboarding of new team members, including paperwork and orientation materials.
Requirements:
  • High school diploma or equivalent; Associate's or Bachelor's degree preferred.
  • Minimum 2 years of administrative experience, preferably in construction or a similar field environment.
  • Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook); experience with construction software (Procore, PlanGrid, etc.) a plus.
  • Excellent verbal and written communication skills.
  • Ability to handle confidential and sensitive information with discretion.
  • Highly organized with strong attention to detail and time management skills.
  • Ability to multitask and work independently in a fast-paced setting.
  • Comfortable working in an onsite construction trailer or field office environment.
Work Conditions:
  • On-site at an active construction site; PPE may be required.
  • 4 wide trailer is the office with a designated space for the admin.
  • Business hours are from 10am to 3pm with occasionally extended hours based on project needs.
  • Exposure to outdoor conditions and construction-related activities.
  • This position will be an 18 to 24 month contract role.
